How to Auto-Apply to Workday Jobs Without Creating 50 Accounts

Every company on Workday has its own sign-in, so ten applications can mean ten accounts. Here is why it works that way, how to make it less painful, and how to hand the whole thing off.

Apply to ten companies that use Workday and you'll likely make ten accounts: ten email verifications, ten passwords, and ten copies of your work history typed into ten slightly different forms. Then you'll forget which email you used where, and a month later one of those companies will show a duplicate profile.

This guide explains why Workday works this way, what you can do by hand to make it less painful, and how to hand the whole thing, account included, to AI Apply.

Why Workday makes you create an account at every company

Workday isn't one job site. Each employer runs its own Workday site, usually at an address like company.wd5.myworkdayjobs.com, with its own candidate database. Your Candidate Home account belongs to that one site. The account you made for one bank doesn't exist at the next bank, even though the sign-in page looks identical.

That's also why so many Workday problems are really account problems: an application that seems to vanish from Candidate Home, a duplicate profile made with a second email, or a status that flips to Inactive or Not Selected soon after you apply.

How to make Workday applications faster by hand

If you'd rather keep doing it yourself, these habits save the most time and trouble:

  1. Use one email for every Workday account. Most duplicate profiles start with a second address.
  2. Let a password manager make and keep each password. You will need them again to check your status.
  3. Keep a short log of each company, the job's requisition ID (the JR or R- number in the posting URL) and the date you applied, so you never apply to the same requisition twice.
  4. Use "Autofill with Resume", then check every field. It saves typing, but dates, job titles and schools often come through wrong or in the wrong boxes.
  5. Keep your standard answers in one note: work authorization, sponsorship, notice period, your address, and how you'll answer "How did you hear about us?"

Even with all of that, each application still takes a while. Most of the time goes to the account, the upload and the questions, and all three repeat at every company.

Why Workday is hard to automate

Browser autofill and generic auto-apply scripts tend to fail on Workday for the same reasons people find it tedious:

  • The account step sends a verification email that has to be opened before you can continue.
  • The form is split across several pages, and each one redraws its fields as you fill them in.
  • Lists like "How did you hear about us?" open a second list under some choices ("Job Board", then "Indeed"), and load their options a moment after they open.
  • Upload fields vary by employer: an "Autofill with Resume" step on one site, a single "Resume/Cover Letter" upload on another.
  • Self-identification questions offer differently worded ways to decline, such as "Not Declared".

How AI Apply handles Workday for you

The account

AI Apply applies with an email address it can read: yours, at apply.refer.me. When a Workday site asks you to create an account, AI Apply creates it, opens the verification email itself, and continues. It makes a one-time password for that site and never stores it. If you already have an account there under that address, it uses "Forgot your password?" and the reset email instead. Either way, you don't create or remember 50 passwords.

Mail sent to your apply.refer.me address is forwarded to your own inbox, so you still see every confirmation and every reply from the employer.

The form

  • Résumé. AI Apply uploads your résumé in Workday's "Autofill with Resume" step and in a combined "Resume/Cover Letter" field, and writes a cover letter for the job.
  • Your details. Name, phone and home address come from your profile. Workday asks every applicant for a street address, so AI Apply asks you for yours before a Workday application if you haven't saved it.
  • "How did you hear about us?" Unless you saved a different answer, it picks Job Board and the job site under it, and never claims a referral you didn't get.
  • Work authorization and sponsorship. If you live in the US, it answers that you're authorized to work. If you don't, it asks you once and uses your answer from then on.
  • Self-identification. Only answers you've saved; otherwise the form's option to decline.

The right job, sent once

Before it applies, AI Apply checks that the page is the job you picked. A Workday posting that was retitled but keeps its requisition ID is the same job. A similar title with a different ID is refused. After Submit, it looks for the employer's confirmation and, if the page shows none, watches your AI Apply inbox for the employer's receipt. If it still can't confirm, your email says so and asks you to check before applying again.

What you still do yourself

  • Pick the jobs. AI Apply applies to the job you choose on the Refer.me job board, nothing else.
  • Answer what only you know. If an application stops on a question about you, it's asked of you rather than guessed.
  • Check Candidate Home if you want to. Use "Forgot your password?" with your apply.refer.me address on that company's Workday site; the reset email is forwarded to you.
  • Avoid repeats. If you already applied to a job yourself, don't send it again through AI Apply. Our guide to withdrawing and reapplying without getting locked out explains why.

AI Apply can't get past a CAPTCHA, so a site that shows one is yours to finish. An application AI Apply can't finish doesn't use a credit. For more on what it does and doesn't do, read Does AI Apply actually work?

Frequently asked questions

Why does every company on Workday need its own account?

Each employer runs its own Workday site, and a Candidate Home account belongs to that one site. An account you made for one company doesn't sign you in anywhere else.

Can AI Apply create Workday accounts for me?

Yes. When a Workday site requires an account, AI Apply creates one or signs in with your AI Apply email address (at apply.refer.me), reads the verification email itself, and uses a one-time password it never stores. You don't have to make or remember a password for each company.

How do I check my status in Candidate Home after AI Apply applies?

Go to that company's Workday sign-in page, choose "Forgot your password?" and enter your apply.refer.me address. Mail to that address is forwarded to your own inbox, so the reset email reaches you and you can set your own password.

What if I already have a Workday account at that company?

AI Apply applies with your apply.refer.me address, so the employer sees a separate profile from the one under your personal email. If you've already applied to that exact job, don't apply again: duplicate applications to one requisition are a common cause of Inactive and Not Selected statuses.

Does AI Apply answer the "How did you hear about us?" question?

Yes. Unless you saved a different answer, it picks the job board option (and the job site under it when Workday asks for one), then the company careers page. It never claims a referral you did not get.

What can't AI Apply do on Workday?

It can't get past a CAPTCHA, and it won't guess at questions only you can answer; those are asked of you. An application it can't finish doesn't use a credit.
