The Opportunity

We are looking for an experienced Executive Assistant to support the Vice President of Research and AI Technology based in our San Jose office.

This is a highly trusted position suited for someone who brings a true thought-partner mindset — able to quickly grasp context, anticipate needs, flag risks, and offer sound recommendations.

Success in this role requires exceptional attention to detail, strong business judgment, and the ability to operate calmly and effectively under pressure. The ideal candidate is comfortable acting as connective tissue across leaders and functions, builds influence quickly in a large global organization, and demonstrates the highest level of integrity, emotional intelligence, and discretion.

What You'll Do

  • Maintain a highly complex and rapidly changing calendar; coordinate scheduling and filter and manage commitments.
  • Arrange a significant volume of domestic and international travel.
  • Plan and support quarterly All Hands and team onsites.
  • Support space planning and seating logistics for the team, coordinating with Workplace/Facilities as needed.
  • Process business expenses and purchase orders on behalf of the VP.
  • Collaborate regularly with cross-functional Administrative & Executive Assistants, and provide backup coverage during vacations/illness.
  • Partner closely with the Chief of Staff and the Research and AI leadership team to sustain the operating rhythm and help drive key initiatives forward.
  • Support leadership meetings, offsites, and organizational forums through scheduling, logistics, preparation, and follow-through.

What You'll Need to Succeed

  • Bachelor's degree or equivalent work experience.
  • 7+ years of relevant experience.
  • Strong attention to detail while working effectively with minimal direction.
  • Clear, concise, executive-level communication.
  • Ability to remain flexible, embrace change, and manage expectations in ambiguous or fast-changing situations.
  • Sound judgment in handling confidential information with integrity and discretion.
  • Ability to juggle multiple demands at once — from the mundane to the strategic — and prioritize conflicting requests and deadlines.
  • Willingness to travel occasionally to provide on-site support at events/conferences.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams, SharePoint) and other productivity tools (Slack, email, calendaring).
  • A positive, proactive, can-do attitude in a fast-paced, ever-changing environment.
